Invoicing software for online and Facebook sellers in Bangladesh

Sales returns with return policies, refunds recorded against the original order, and customer debit notes for exchanges. Every step posts to accounts so the profit figure is real, not hopeful.

Returns are a structural feature of cash on delivery retail, not an exception to it. A seller shipping a few hundred parcels a month will see a meaningful share come back, some refused at the door and some returned after delivery.

Each of those has to put stock back, adjust what the customer owes or is owed, and reverse the accounting, and doing it as three separate manual acts is how the numbers drift. A return policy applied to a return record does all three from one action.

What goes wrong for online sellers

Everyday problems in this trade, from the industry guide.

  • Orders scattered across Messenger and Sheets

Every order is copied from a chat into a spreadsheet by hand. Addresses are wrong, phone numbers are mistyped, and when two people update the sheet at once, an order is quietly lost.

  • COD statements never reconcile

The courier pays out in lumps days after delivery. Matching each parcel to a payout, less charges and returns, takes an evening a week and the difference is usually written off as a mystery.

  • Returned parcels eat the margin

Customers refuse delivery or do not answer the phone. Return parcels come back weeks later, are not counted back into stock, and the delivery charge has been paid twice for nothing.

  • Fake and duplicate orders

Without an SMS or call confirmation, a share of orders are never real. They are packed, shipped and returned, and the courier fee is lost each time along with the packing.

Returns, refunds and exchanges

How Sales & Invoicing handles it.

Sales returns with return policies, refunds recorded against the original order, and customer debit notes for exchanges. Every step posts to accounts so the profit figure is real, not hopeful.

What you get

The parts of Sales & Invoicing that matter most here.

  • Returns and return policies

Define return policies by days and condition, process sales returns against the original invoice, and settle with a refund or a customer debit. Stock and accounting entries are reversed automatically.

  • Multiple payments per invoice

Record cash, bank transfer, cheque, card and MFS payments such as bKash or Nagad against one invoice, in any combination and on different dates. Dues are visible per invoice and per customer.

  • Direct invoice for walk-ins

For counter sales that do not need an order, raise a direct invoice with items, serial numbers where relevant, discounts and payment in a single screen. Print it or save it as a PDF immediately.

  • Courier hand-off

Push a sales order to Steadfast, Pathao or Paperfly from the order screen and sync the delivery status back, so COD parcels and their collections are tracked against the invoice.

  • Stock and accounting update

Invoicing deducts stock from the selling warehouse and posts the sales, VAT and receivable journals through account mapping rules. Cancel or return an invoice and the entries reverse with an audit trail.

  • Coupons and invoice templates

Issue coupon codes with limits and validity, apply them at invoice time and see redemptions. Choose an invoice template so the printed challan carries your business details and terms.

A working day for online sellers

The sequence this trade actually runs, from the industry guide.

  1. Order arrives from page or website

Website orders land in the ERP automatically. Messenger orders are keyed in by staff with the customer's name, phone number and delivery address.

  2. Confirm by SMS or call

An order placed SMS goes out, staff confirm doubtful orders by phone, and confirmed orders move to packing with stock reserved against them.

  3. Pack and book the courier

Shipments are created against orders. Steadfast bookings go through its API; for Pathao, Paperfly or CarryBee the consignment number is entered by hand. The tracking reference is stored on the order.

  4. Deliver and update the customer

Tracking status updates the order and a delivery SMS goes to the customer. Refused parcels are marked for return so they are expected back.

  5. Reconcile COD and returns

Courier statements are uploaded and matched to delivered orders in courier payments, charges are recorded, and returned parcels are checked back into stock.

Questions

Answered plainly, including where the answer is no.

How are refunds handled on a cash on delivery order?

A return brings the stock back and reverses the revenue and tax entries, then either credits the customer balance or records a refund, depending on the return policy applied.

Can an exchange be recorded rather than a refund?

Yes. The return and the replacement sale are recorded against the customer, so the ledger reflects an exchange rather than two unrelated transactions.
