Reports and analytics for pharmacies and healthcare retail in Bangladesh
Sales by item, supplier and outlet, stock valuation and expiry reports, exported to Excel or PDF or scheduled to arrive by email, so the weekly order is built from data rather than from walking the shelves.
A pharmacy carries thousands of lines and makes its money on a few hundred of them. Shelf space and working capital both go to whatever was ordered last time, which is not the same as whatever sells.
The reports that change decisions here are unglamorous: fastest and slowest movers, margin by category, and stock that has not moved in ninety days. Having them on demand rather than as an annual exercise is most of the benefit.
What goes wrong for pharmacies
Everyday problems in this trade, from the industry guide.
-
Expired medicine found on the shelf
Expiry dates are checked by walking the shelves once a month, if there is time. Strips expire quietly at the back, and the loss is only noticed when a customer points it out.
-
Supplier returns missed
Companies accept near-expiry returns within a window. Without a list of what is approaching expiry and which supplier it came from, the window closes and the stock is written off.
-
Thousands of items in a khata
Purchases from many distributors are noted in books, stock is a guess, and the same item is bought from two sources at different prices without anyone noticing until the money is gone.
-
Slow counter at peak hours
Evening rush, one person on the counter, prices looked up by memory. Mistakes on price and change are common, and a held bill for a customer who forgot their prescription is lost.
Reports on fast and slow movers
How Reports & BI handles it.
Sales by item, supplier and outlet, stock valuation and expiry reports, exported to Excel or PDF or scheduled to arrive by email, so the weekly order is built from data rather than from walking the shelves.
What you get
The parts of Reports & BI that matter most here.
-
Standard reports per module
Ready-made reports for sales, purchases, inventory, accounting, POS, HR and expenses: stock status, purchase status, attendance summary, headcount, leave, overtime, payroll summary, punctuality and more, each with filters, date ranges and export.
-
Custom report builder
Choose a data source, pick columns, add filters, group and order the rows, and save the definition. Run it any time with new dates, share it with colleagues, and export the result to CSV, Excel or PDF.
-
Report library and presets
Saved reports live in a library organised by category. Presets store a report's filters, so the month-end sales summary, the weekly stock-out list and the daily collection sheet run with one click by anyone with permission.
-
Dashboard widgets and KPIs
Define KPI metrics with a data source, calculation method, target, unit, frequency and low and high alert thresholds, then place them as widgets on the dashboard. Analytics views compare periods so trends show without a spreadsheet.
-
Excel and PDF export
Every report exports to CSV, Excel or PDF. Export history records who exported what, in which format and when, which matters when a VAT officer or auditor asks where a figure came from and which file they were given.
-
Scheduled delivery
Schedule a report daily, weekly, monthly or on a custom interval, and deliver it by email to a list of recipients, to the dashboard or as a download. Last run time and status are shown so a silent failure is noticed.
A working day for pharmacies
The sequence this trade actually runs, from the industry guide.
-
Receive stock with batch and expiry
Company representatives deliver against orders. Staff enter the GRN with batch numbers, expiry dates and purchase price, and print barcodes for loose items that lack one.
-
Sell at the counter
Items are scanned, the earliest-expiring batch is picked, cash or MFS is taken and a receipt is printed. Held bills wait for customers who return with a prescription.
-
Act on near-expiry alerts
The near-expiry list shows items and their suppliers. Short-dated stock is moved to the front, discounted, or returned to the supplier with a purchase return.
-
Transfer between outlets
Stock the branch is short of is transferred from the main shop with a transfer record, and both outlets' stock figures update immediately.
-
Close and review
Each counter runs a Z-report, and the owner checks sales by outlet, supplier dues and the reorder suggestions produced by replenishment rules.
Questions
Answered plainly, including where the answer is no.
Can I see which items are not selling?
Yes. Stock aging and sales reports identify slow and non moving lines, which is the input to deciding what not to reorder and what to discount before it dates.
Can a report arrive automatically?
Yes. Reports can be scheduled for delivery, so a daily sales summary or a weekly slow mover list arrives without anyone remembering to run it.
