CRM and loyalty for service businesses and agencies in Bangladesh

Customer profiles with purchase history, customer types and groups, segments for active and lapsed clients, and email or SMS campaigns when you launch a new service or change your rates.

For a services firm the client list is the business, and it usually lives in one person's phone. When that person is unavailable, so is the history of every conversation with every client.

What is needed here is not a sales pipeline with fifteen stages. It is a shared record of who the client is, what they have bought, what was agreed and when somebody last spoke to them, so that a follow up does not depend on one person remembering.

What goes wrong for service businesses

Everyday problems in this trade, from the industry guide.

  • Quotations and invoices in Word

Each quotation is a copy of the last one with the client name changed. Numbering breaks, terms differ between staff, and the accepted quote has to be retyped as an invoice with fresh mistakes.

  • Retainers billed late or missed

Monthly retainers, hosting fees and maintenance contracts are invoiced when someone remembers. Cash flow suffers, clients pay late because the bill arrived late, and revenue lands in the wrong month.

  • Staff expenses on scraps of paper

Transport, client entertainment and small purchases are claimed with receipts in an envelope. Approvals are verbal, reimbursements are delayed, and nobody knows the true cost of a project.

  • Payroll and leave in a spreadsheet

Salaries, leave balances and income tax deductions are tracked in Excel by one person. Tax slab changes each financial year are applied by hand and payslips are typed one at a time.

Client records and follow-ups

How Customers, CRM & Loyalty handles it.

Customer profiles with purchase history, customer types and groups, segments for active and lapsed clients, and email or SMS campaigns when you launch a new service or change your rates.

What you get

The parts of Customers, CRM & Loyalty that matter most here.

  • Customer profile and history

One page per customer with contact details, type, segment, loyalty balance, dues and every invoice, POS receipt, online order and return, so a phone call is answered from the record rather than from memory.

  • Customer types and segments

Group customers into types such as retail, wholesale or corporate, and define segments with rules on customer type and minimum purchase. Types and segments drive price tiers and campaign target lists.

  • Email campaigns and templates

Build email templates, plan campaigns with an audience, dates, budget and goal, and track metrics. Automated notifications send order and payment emails without staff involvement.

  • SMS campaigns

Send promotional or informational SMS to a filtered customer list, schedule the send and watch delivery counts. Bangladeshi gateways such as Grameenphone, Robi, Banglalink and SSL Wireless are supported, with Bangla Unicode encoding handled.

  • Coupons per customer

Issue coupon codes with value, limits and validity, assign them to specific customers or campaigns, and track redemption on invoices and at POS so a code is never used twice by mistake.

  • WhatsApp broadcasts

Broadcast approved WhatsApp message templates with variables to a customer list, keep message history and review delivery. Useful for order updates and offers where SMS gets ignored.

A working day for service businesses

The sequence this trade actually runs, from the industry guide.

  1. Send a quotation

A new client request becomes a quotation from a template with your standard terms. When accepted it converts to a sales order without retyping.

  2. Deliver and invoice

The invoice is issued from the order, with Mushak 6.3 where the client needs a tax invoice. Payment by bank or bKash is recorded against it.

  3. Approve staff expenses

Staff submit expenses by category, managers approve in the workflow, and approved claims are marked paid in bulk and posted to the right cost centre.

  4. Post recurring entries

Recurring journals for rent, retainers and subscriptions post on schedule, and bank transactions are imported and reconciled against the ledger.

  5. Run payroll and close the month

Leave and attendance feed payroll, tax is deducted by slab, payslips go out, depreciation runs on assets and the accounting period is locked.

Questions

Answered plainly, including where the answer is no.

Is this a full CRM with a sales pipeline?

No. It is a customer record with purchase history, types, segments and campaign tools. If you need a detailed opportunity pipeline with forecasting, a dedicated CRM will serve you better, and we would rather tell you that up front.

Can follow ups be sent to a group of clients?

Yes. Clients can be segmented and sent an email, SMS or WhatsApp campaign from templates, with the history recorded against the customer.
