Accounting and VAT software for wholesalers and distributors in Bangladesh
Every sale, return and collection posts to the party ledger automatically. Aged receivables and outstanding balance reports show who owes what and for how long, and a due reminder SMS can go out on schedule.
Wholesale is a credit business wearing a trading business's clothes. The margin per unit is thin, the volume is large, and the real risk is not pricing but the age of the money owed to you across a few hundred parties.
That makes the party ledger and the ageing report the operational documents, not the month-end ones. A distributor who can see, on any given morning, which parties are past sixty days and what they bought is running a different business from one who finds out at the end of the quarter.
What goes wrong for wholesalers
Everyday problems in this trade, from the industry guide.
-
Party dues in notebooks
Hundreds of retailers buy on credit and the running balance lives in a khata or a spreadsheet kept by one person. Disputes over old balances are settled by argument, not by a ledger both sides can read.
-
Stock split across godowns
Goods move between the main godown, a branch and a delivery van without a record. Physical counts never match the file, and staff phone each other to find out where a carton went.
-
Different prices for different parties
Dealer, retailer and special party rates are remembered or looked up in an old price list. A wrong rate on a big order wipes out the margin, and price changes take days to reach everyone.
-
Collections posted one bill at a time
A collector returns with cash and cheques for twenty bills and the office spends the evening matching them. Partial payments and post-dated cheques leave the balance uncertain for days.
Party ledger and aged receivables
How Accounting & Mushak VAT handles it.
Every sale, return and collection posts to the party ledger automatically. Aged receivables and outstanding balance reports show who owes what and for how long, and a due reminder SMS can go out on schedule.
What you get
The parts of Accounting & Mushak VAT that matter most here.
-
Party ledger and ageing
See what every customer owes and what every supplier is owed, with aged receivables and payables in buckets. Outstanding balances feed due collection calls and payment reminders.
-
Automatic journal entries
Account mapping rules decide which ledger each sale, purchase, stock movement, return, expense or payroll run hits. Accounts staff review postings instead of typing them, and the mapping is editable for your business.
-
Mushak 6.3 from a sale
Generate a Mushak 6.3 tax invoice from any sale with seller and buyer details, item-level VAT and a sequential Mushak number. Print it, then move it through draft, submitted and approved states.
-
VAT registers and return summary
Keep Mushak 6.1 purchase and 6.2 sales registers, then produce a period summary of output VAT, input VAT, net VAT and supplementary duty. Use it to prepare your Mushak 9.1 return or turnover tax return.
-
Bank import and reconciliation
Record bank accounts, import statement lines from CSV and match them against payments and receipts. Unmatched items stay visible until someone explains them, and reconciliations are saved per period.
-
Cost centres, currency and budgets
Tag income and expenses to cost centres or branches, hold balances in more than one currency and set budgets with budget versus actual and variance reports for each period.
A working day for wholesalers
The sequence this trade actually runs, from the industry guide.
-
Take orders from parties
Orders come in by phone or from a salesman in the field. Staff create sales orders at the party's price tier and check the credit position before confirming.
-
Pick and dispatch from the godown
A delivery note is issued, stock is deducted from the right godown, and the van or courier shipment is recorded against the order with a tracking reference.
-
Record collections in batches
Cash, cheques and bKash received from parties are posted as batch payments against open bills, and the party ledger updates immediately for everyone to see.
-
Receive imports and supplier bills
Goods are received against the purchase order, the supplier bill is entered, and purchase VAT is recorded for the Mushak 6.1 register.
-
Review dues and stock
The owner checks aged receivables, sends due reminder SMS to overdue parties, and reviews stock levels and replenishment suggestions before placing the next order.
Questions
Answered plainly, including where the answer is no.
Can I see what each party owes and for how long?
Yes. Party ledgers show every invoice, payment, return and adjustment in date order with a running balance, and the aged receivables report groups the outstanding amounts into buckets so collection can be prioritised.
Does the system handle purchases in foreign currency?
Multi currency is supported, which matters where goods are imported and settled in a currency other than taka. Landed cost still depends on recording the purchase properly through goods receipt and bill.
