Where this matters most
Generators, ACs, computers, delivery vans, shop fittings and the CCTV system are money sitting in your business. Most SMEs in Bangladesh track them in a notebook until the auditor asks for a fixed asset register and a depreciation schedule. SORS ERP keeps that register current from the day you buy an asset to the day you sell or scrap it.
Each asset carries a code, barcode, serial number, brand, model, purchase cost, supplier, warranty dates and the accounts it posts to. Assign it to an employee, department or location, transfer it between branches, take it back when someone leaves, and see the full movement history. Maintenance jobs and warranty expiry raise reminders before they become surprises.
Depreciation is calculated per asset using straight-line or declining-balance methods with useful life set by category, and each run records the entry, updates book value and posts the journal. Buying an asset posts the capitalisation journal and disposal posts the removal journal, so the balance sheet in the Accounting module always agrees with the register.
How it works
Asset lifecycle from purchase to disposal
- Purchase asset, Journal posted
- Register and tag, Code, barcode
- Assign, Staff, location
- Depreciation run, Straight-line
- Maintenance, Cost, next due
- Disposal, Sale or scrap
What is included
- Asset register and tagging
- Every asset gets a code and barcode plus serial number, brand, model, purchase date and cost, supplier, PO number, warranty dates, salvage value and custom fields. Categories set default useful life and the asset, depreciation and expense accounts.
- Purchase asset with journal
- Record an asset purchase and SORS ERP posts the capitalisation journal to the asset account against payables or the paying branch's cash account. Once posted, the cost is locked; corrections go through an adjustment journal, as an auditor expects.
- Assignments, transfers and returns
- Assign an asset to an employee, department or location, transfer it to another branch, and record the return when a staff member resigns. Overdue assignments raise a notification and the movement history shows every hand it passed through.
- Depreciation methods and runs
- Choose straight-line or declining-balance per asset, with useful life from the category. Preview the calculation, run a period by hand or through the automation, and each entry records the amount, accumulated depreciation and book value and posts the journal.
- Full-depreciation reminders
- The ERP lists assets within a few periods of being fully depreciated and can send reminder notifications, so finance decides in time whether to replace, revalue or keep the asset on the books at salvage value.
- Maintenance with costs
- Log servicing for the generator, AC or vehicle with date, type, cost, who performed it, attachments and the next due date. Completed jobs can be expensed or capitalised, and maintenance-due notifications go out before the next service.
- Disposal with approval
- Dispose of an asset with its disposal type, amount, buyer name, reason and attachments. Disposals can require approval, and the journal removes cost and accumulated depreciation and books the proceeds against the disposal account.
- Audit and verification by scan
- Run a physical audit: scan asset barcodes at a location and the ERP marks each one verified, so missing or misplaced items stand out. Auditors get the register, depreciation schedule and movement history as exports.
- Warranty and vendor records
- Store warranty start and end dates per asset and get an alert before expiry, so a failing UPS is claimed rather than replaced. Asset vendors and locations are kept as masters shared across branches.
In Bangladesh
Bangladeshi SMEs carry more fixed assets than their size suggests: a generator and IPS for load-shedding, ACs for every floor, CCTV, a delivery van, and racks of computers in a Multiplan Center showroom. Without a register, these never depreciate on paper, profit is overstated and the tax computation is wrong.
Auditors and the NBR expect a fixed asset schedule with additions, disposals and depreciation for the year. SORS ERP produces it from the same entries that built your balance sheet, and useful life is set per category so you can follow your auditor's schedule rather than a foreign default.
Assets move between the Dhaka head office, the Chattogram branch and staff homes more than anyone admits. Assignments with return dates, transfers between branches and a barcode scan audit at year end mean the laptop that left with a resigned employee is noticed in weeks, not at the next audit.
Frequently asked questions
Which depreciation methods are supported?
Straight-line and declining-balance, chosen per asset, with useful life and default accounts set on the asset category. You can preview the calculation, run a period, or let the automation run it, and every entry records the amount, accumulated depreciation and book value.
Does asset management post to the accounts?
Yes. Purchasing an asset posts the capitalisation journal, depreciation runs post to the depreciation and expense accounts, completed maintenance can be expensed or capitalised, and disposal posts the removal journal. Because the Asset and Accounting modules share one ledger, the fixed asset schedule and the balance sheet agree.
Can I track who has which laptop?
Yes. Assign each asset to an employee, department or location with an expected return date, transfer it between branches, and record the return. Overdue assignments trigger a notification and the movement history shows every step.
How do I do a physical asset count?
Use Audit and Verification. Scan barcodes or enter asset codes at each location and the ERP marks those assets verified; anything unscanned is your missing list. Run it before year end so the auditor's schedule matches what is physically on the floor.
Does it handle warranty and maintenance reminders?
Yes. Each asset stores warranty start and end dates and raises an alert before expiry. Maintenance jobs carry a next due date and trigger a maintenance-due notification, so servicing the generator before monsoon does not depend on someone remembering.
Is it only for large companies?
No. A single outlet can register a dozen assets, run depreciation once a year and hand the schedule to the auditor. A multi-branch business uses the same screens with locations, transfers and movement history across branches.
